Note: This training applies to version 2.0 of the software and above. If your software version is lower than 2.0, please refer to
this training.
This training does not apply to users with SSO identification.
1. Go to the People module
Select the person and click on the three dots, then User Access.
2. Define the access
1) Activate "Can log into the application ?"
2) Define the username
3) Select the user type based on your number of licenses: Administrator, Editor, Participant, Reader
4) Enter the password, making sure it meets the requirements on the right.
Then, click on Save
You can assign the same password to multiple collaborators.
Depending on your settings, each collaborator can
change their own password.
You can define password security using the training linked
here.
3. Manage user types with the global view
To easily manage user types globally, Administrators can access the Users tab in the options.
Here, you'll find a list of all individuals who have access to the platform, along with their user type.
The exclamation mark in the red bubble means that the person has permissions that do not match the user type assigned to them (for example, if you gave someone permission to create a document, but they are a Reader. This does not affect your license, and the person will not be able to create a document.)
If you want to make changes, simply click on Edit, then you can manage the user types based on the number of available licenses.
As a reminder, an Administrator is counted as an Editor in the license.
The red cross (to the right of a user) allows you to remove the user's access to Optimiso. They will no longer be counted in the license, but their profile will still appear in the People module.
4. Reminder : Definition of user types
Administrator: Can have full rights on the platform, including configuration options
Editor: Can create/modify elements in Optimiso
Participant: Can create incidents/improvements, complete tasks, and validate items (validation workflows)
Reader: Can only view data
These definitions correspond to the default settings. User rights can be adjusted based on the access permissions defined in the software.
