Which module should be used to automate tasks? (from version 2.0)

1. What does "automating a task" mean in Optimiso Suite ?

Automating means that Optimiso Suite automatically sends an email or notification to the employee responsible for completing the task.
The result of this task is then automatically recorded in the software.
Other employees can be notified whether the task has been completed or not, with an alert based on the outcome.

Here are the modules that allow task sending:

  1. Control
  2. Responsibilities
  3. Indicators
  4. Incidents
  5. Improvements
  6. Todo Manager
Let's look at the possible uses of each of these modules.

2. Tasks related to controls

The control module is mainly used by our clients in Internal Control projects, ISAE 3402, or within the framework of risk management.
The primary goal is to easily monitor the proper execution of controls.
The dashboard view allows you to see, over a given period, whether the controls have been carried out and what their results are.



This dashboard is generated by automating the controls.
At each defined frequency, the software automatically generates a control task to be completed. For example, for the control of monthly invoicing, a task to be done will be generated every 18th of the month.


All control tasks are recorded along with their results.


The second objective is to link these controls with risks, in order to be able to generate matrices.


3. Task related to responsibilities

The responsibilities module is used by our clients to create job descriptions.
Some responsibilities can be automated to ensure proper follow-up, such as the responsibilities: Establish the VAT returns.



4. Task related to indicators

Tasks related to indicators allow you to collect an indicator's measurements and automatically generate a trend chart.
You must first define a reference scale that will determine the color thresholds for the chart.


At each defined frequency, a task is created to collect the indicator’s measurement for a given period.


5. Task related to improvements and incidents

The Improvements and Incidents modules work in the same way. They are used by our clients as part of ISO certifications or for internal control monitoring.
In this example, the improvement project is to define rules for password management. You can see that two actions, equivalent to tasks, were used to track the project, made possible through the "Add Action" button.



Once a task is created, it is triggered immediately and a completion deadline is set. 

6. Task related to ToDoManager

You can create tasks that are not linked to the Controls, Assignments, Indicators, Incidents, or Improvements modules.

These tasks can be created in several ways:
1. via the ToDo Manager module


2. via the "+" button, always available at the top right


3. via the Tasks module

These tasks can be periodic, meaning they will be triggered at each defined frequency.
Tasks can also be triggered manually.


You can also create single shot tasks that will only need to be performed once.
In this case, the task can no longer be modified once triggered and will only appear in the task module list, not in the ToDo Manager module.


7. Task related to the Tasks module 

The Tasks module provides you with an inventory of all tasks from the different modules.

You can filter this list:

1) Display only your tasks or all tasks for which you have access to read.


2) Display tasks based on their deadlines.


3) Display tasks from one or more selected modules.


4) Display tasks with a specific status, for example, to view expired tasks.


 This list also includes all tasks related to the validation of documents, procedures, or any other module for which you have activated the validation workflow.
